Changing Organization Lists

The Organization table located in Entries, RTO’s, and Horses, may be modified to your choosing for organizational priority. For instance, if one organization is used more than others, you may move this to the top of your table (or list). 

 

  1. Open ‘Organizations’ module from the palette. 
  2. Open which Organization you would like to modify. 
  3. Set your priority, 1 is highest ranking. 
  4. Click ‘Save’, (the green check), to close the window. 

Balance Transfers - Controlling which users have access

Balance transfers allow past balances, whether positive or negative, to be transferred from an older entry to a new entry.  This feature is available in the entry detail form, but is only available to users who have been granted access to the feature.  

Past balances are determined based on the “Responsible Party” of the entry.  This defaults to the owner but could be a different person as well.  When past balances are checked it is based solely on this person and whether they were responsible for past entry with an existing balance.

Balance transfers are considered a special privilege.  What this means is that not all users are automatically able to do this even if they.

To enable balance transfers open the group up which you want to have access (for instance Secretaries) and select the Can TransferBalances checkbox.

Fee Checkboxes - What do they do?

Every fee record has a number of checkboxes associated with it.  This article describes the importance of these checkboxes and how they work in the system.

  1. Stable Fee - Any fee that should be considered as a stabling related fee should have this checked.  This checkbox is used to determine stabling items purchased on various stabling reports
  2. Available For Web Ordering - If you wish to allow your customers the ability to order an item on the web during their new entry process OR using the Order Supplies option, then you must check this box.  Any item you don’t want ordered on the web should not have this checked.
  3. Feed Bedding Item - This checkbox can and should be used when an item needs to be delivered to your customer.  Typically these items would be shavings, feed and hay.  A feed delivery report will pick up any undelivered new items that have been ordered when printed and these reports base which items to look for on the Feed Bedding checkbox.
  4. Appear on Statement - Some statements and entry blank have a dynamic section that lists fees and their prices.  This checkbox controls if a fee will appear on the statement.
  5. Web Deposit Required - This is a powerful feature that ties into the automatic web deposit feature when users add a new entry at ShowGroundsLive.com.  By clicking this box users will be required to pay for any of that particular item during entry adds.  For example you may want to collect a deposit for stalls but not for shavings.

Setting your Default Invoice

To set your default invoice for printing purposes, please follow the below steps: 

 

  1. File Menu > Administration
  2. Edit System Preferences > ‘Report Prefs’ tab
  3. You will see two drop down menus, please select which report you would like as your default invoice for printing. If you do not see your report in the list, please contact ShowGrounds support for further assistance. 

Set Default Responsible Party and Prize Money Recipient

Responsible Parties and Prize Money Recipients are automatically set as the Owner of the horse on an entry. 

To change these settings, please complete the following steps: 

 

  1. File Menu > Administration
  2. Edit System Preferences > General Tab
  3. You will see two drop down menus, ‘Responsible Party’ and ‘Prize Money Recipient’. Select your default choice. 

ShowGroundsLive New Results and Standings

New! ShowGroundsLive.com now has an entirely new Results and Stadings area! Results are now organized into ‘Browse’ (all divisions and classes), ‘Daily Results’, ‘Show Champions’ and ‘Circuit Standings’. By navigating to the division or class of interest, the detail will appear.  

For all Training and Schooling classes, or any other class’ results you’d like to suppress from the web that does not have results—simply go into the class detail and click, ‘No Results for this Class’. 

 

Simple Scheduler: Editing Class Information

Ingate Tool: Ability to Change Times

ShowGrounds now offers the ability for Ingate personnel to edit class scheduling information. By clicking on the new ‘Schedule’ tab within the Ingate/Announcer tool, users may now edit the following information; minutes per trip, class setup time (which could include drag and water, break, etc.), and planned start time. ShowGrounds also added a visual cue; red, yellow or green, signifying the classes’ current status. We implemented these changes to offer an even more up-to-the-minute schedule for ShowGroundsLive.com users.

New Features

[ShowGroundsMail: Setup CC Emails] When logged into ShowGroundsLive.com, a user may edit their account to have all email alerts be cc-ed to other email addresses. This was designed for trainer’s assistants, parents, etc. to receive ShowGroundsMail in their own inbox. 

 

Other

['Refund Fee' Button] Originally, the ‘Refund Fee’ button was created for the ability to see the full account detail. Though, after a test period, users decided the amount of line items was overwhelming. We have re-implemented the ‘Delete Fee’ button, while logging the deleted fees on the ‘Communications’ tab within entry detail. 

 

Reports

[1099 Individual Report] Generated from the RTO area, 1099’s may now be printed for a specific subset of entries. 

 

Bug Fixes

[Refunding a Fee Split] When needing to refund a fee that was created from a large fee split, the charged amount and refunded amount were slightly off. This was due to the fee amount be rounded ($75 fee, split over 8 entries = $9.375, ultimately charging the account $9.38.) Because of this, the calculations were not exact, and this is now resolved. 

[Announcer Tool: Refresh Button] There was previously a problem with the ‘Refresh’ button in the Announcer tool, refreshing the dropdown list of class groups, this is now fixed.  

[Announcer Tool: Ability to Print] The ability to print from within the Announcer tool is available. 

USEF - Integrated…easy to use
